Artificial Intelligence Use and Transparency Policy

This policy explains how Rice Real Estate & Property Management may use artificial intelligence as a supporting business tool while preserving human judgment, Fair Housing compliance, privacy, accuracy, and professional accountability.

Effective: June 25, 2026 Last updated: September 25, 2026

How Artificial Intelligence Fits Into Our Work

Rice Real Estate & Property Management may use artificial intelligence, including generative AI and other automated tools, to help draft, organize, summarize, research, analyze, and improve business-related information.

AI-generated or AI-assisted work is treated as a starting point, not as an automatically reliable conclusion. It does not replace the experience, judgment, authority, or responsibility of our licensed real estate professionals and property management team.

This policy applies to AI-assisted work performed or approved by Rice Real Estate & Property Management in connection with residential property management, leasing, advertising, communications, business operations, and website content.

Human Accountability

A team member remains responsible for the final communication, recommendation, publication, or business decision.

Purpose-Limited Use

AI should be used only when it supports a legitimate business purpose and is appropriate for the information involved.

Privacy and Restraint

Information shared with an AI system should be limited to what is reasonably necessary for the authorized task.

Fair and Accurate Service

AI-assisted work must be reviewed for accuracy, Fair Housing compliance, privacy, professionalism, and company standards.

How Rice Real Estate & Property Management May Use AI

AI may assist with appropriate administrative, operational, educational, communication, research, and marketing tasks. Permitted uses may include the following.

Communications and Writing

  • Drafting property owner updates and explanations.
  • Drafting resident, applicant, vendor, or client communications.
  • Improving clarity, organization, grammar, or tone.
  • Preparing educational articles and website information.

Operations and Organization

  • Summarizing non-sensitive property management information.
  • Organizing internal processes, checklists, and procedures.
  • Preparing draft maintenance troubleshooting instructions.
  • Identifying information that requires additional human review.

Research and Analysis

  • Reviewing publicly available rental and real estate information.
  • Organizing market data for staff evaluation.
  • Comparing sources or identifying issues requiring verification.
  • Supporting research for educational property management content.

Marketing and Property Presentation

  • Drafting rental listing descriptions and advertisements.
  • Assisting with website content and search optimization.
  • Preparing social media or email marketing drafts.
  • Assisting with disclosed virtual staging or photo enhancement.

AI-assisted work remains a draft. It must be reviewed by an authorized Rice Real Estate & Property Management team member before it is published, distributed, or relied upon for a consequential business action.

AI Is Not the Sole or Final Decision-Maker

AI and automated tools may help organize information for review, but Rice Real Estate & Property Management does not use AI as the sole or final authority for high-impact leasing, legal, financial, property, or resident-related decisions.

AI Does Not Independently or Finally Determine:

  • Rental applicant approval, denial, ranking, or qualification.
  • Changes to the company’s published rental qualification criteria.
  • Reasonable accommodation or reasonable modification requests.
  • Security deposit deductions, accounting, or disposition.
  • Eviction, default, enforcement, or other legal action.
  • Lease interpretation presented as legal advice.
  • Habitability determinations or emergency response obligations.
  • Final maintenance authorization or repair responsibility.
  • Final rental pricing without review by authorized personnel.
  • Legal, tax, financial, or investment advice.

AI may identify questions, organize records, summarize information, or help prepare a draft recommendation. The final evaluation and authorized company action must remain with a qualified person who has access to the relevant facts and business context.

Human Review and Professional Judgment

The level of review should reflect the importance and potential risk of the task. Routine drafting may require a basic accuracy review, while leasing, Fair Housing, privacy, legal, financial, safety, or property-condition matters require greater scrutiny.

Content Review

  • Accuracy and factual support.
  • Completeness and relevant context.
  • Clear and professional communication.
  • Consistency with company records and procedures.

Compliance Review

  • Fair Housing and nondiscrimination requirements.
  • Privacy and confidential-information protection.
  • Applicable laws, regulations, contracts, and company authority.
  • Accurate representation of rental properties and services.

Important facts should be checked against appropriate source materials, such as property files, agreements, photographs, communications, official records, published criteria, or other authoritative information available to the reviewer.

Fair Housing and Rental Applicant Screening

Rice Real Estate & Property Management is committed to complying with applicable federal, state, and local Fair Housing requirements. AI does not replace our established rental screening process, published qualification standards, or human oversight.

  • Rental applications are evaluated under the company’s published rental qualification criteria and applicable legal requirements.
  • AI is not authorized to independently approve or deny a rental application or alter the criteria used to evaluate it.
  • AI-assisted advertisements, listings, website content, and leasing communications must be reviewed for discriminatory language, improper preferences, steering, unsupported claims, or other Fair Housing concerns.
  • Rice Real Estate & Property Management does not intentionally use AI or digital advertising controls to exclude people from receiving housing opportunities based on legally protected characteristics.
  • Applicant and prospective resident information must not be used to create discriminatory profiles, categories, rankings, or priorities.

Third-party advertising and technology platforms may use automated systems within their own services. Rice Real Estate & Property Management remains responsible for the audience settings, instructions, content, and business choices it controls.

Personal, Confidential, and Sensitive Information

Rice Real Estate & Property Management limits the information shared with AI systems to what is reasonably necessary for an authorized business task. Personally identifiable information should be removed, minimized, summarized, or replaced with placeholders whenever practical.

Unredacted high-risk information should not be knowingly submitted to a general-purpose AI tool. Examples include the following.

Identity and Financial Information

  • Social Security numbers.
  • Driver license or government identification numbers.
  • Bank account, payment card, or payment credential information.
  • Credit reports and background screening reports.
  • Owner financial and trust accounting records.

Protected Business and Housing Records

  • Complete rental applications or screening files.
  • Medical, disability, or reasonable accommodation documentation.
  • Unredacted leases containing personal information.
  • Internal credentials, passwords, access codes, or security keys.
  • Other confidential records not required for the AI-assisted task.

Additional information about the company’s collection, use, sharing, and protection of personal information is provided in the Rice Real Estate & Property Management Privacy Policy .

Virtual Staging and AI-Enhanced Property Images

Rice Real Estate & Property Management may use AI-assisted tools for virtual staging, photo enhancement, and rental property marketing. These tools must not materially misrepresent a property or conceal information a prospective resident would reasonably consider important.

Permitted Uses May Include

  • Adding clearly disclosed virtual furniture or decor.
  • Improving brightness, exposure, sharpness, or clarity.
  • Correcting color balance or lighting.
  • Adding representative window coverings.
  • Performing minor landscape cleanup.
  • Replacing a sky without changing the property or its surroundings.

AI Images Must Not

  • Add rooms, pools, appliances, fixtures, views, or other features that do not exist.
  • Hide damage, defects, deterioration, or material property conditions.
  • Change floor plans, wall locations, room proportions, or usable space.
  • Make a room or lot appear materially larger.
  • Remove nearby permanent conditions that materially affect the property.
  • Misrepresent the rental home’s actual condition or availability.

Disclosure: Images that have been virtually staged should be clearly identified as virtually staged. Other material AI enhancements should be disclosed when the change could affect a viewer’s understanding of the property.

AI Output Can Be Incorrect

Artificial intelligence systems can produce incomplete, outdated, biased, misleading, or factually incorrect information. They may also present uncertain information in language that sounds authoritative.

Rice Real Estate & Property Management does not assume that an AI output is accurate merely because it is detailed or confidently written. Important statements must be reviewed and verified before they are used in communications, listings, reports, recommendations, marketing, or business decisions.

AI-generated information does not independently constitute legal, tax, financial, investment, real estate, or other professional advice.

Third-Party Artificial Intelligence Services

Rice Real Estate & Property Management does not control information generated, summarized, interpreted, or displayed by third-party artificial intelligence systems, chatbots, search assistants, or other external digital platforms. Information provided by those services may be incomplete, outdated, or inaccurate and should not be treated as an official communication, representation, approval, or decision of Rice Real Estate & Property Management.

For current information regarding rental availability, pricing, fees, qualification requirements, policies, or property-specific matters, users should verify the information through the applicable current page on this website, the relevant written agreement or policy, or an authorized representative of Rice Real Estate & Property Management.

Third-Party AI Analysis of Company Policies

Third-party artificial intelligence systems may independently summarize, compare, characterize, or analyze information published on this website. Those analyses are generated by the third-party system and are not authored, approved, adopted, or endorsed by Rice Real Estate & Property Management unless expressly stated otherwise.

An AI-generated characterization of a rental policy, screening practice, Fair Housing issue, reasonable accommodation request, or legal requirement is not a company determination or legal conclusion. Current information should be evaluated from the applicable first-party page in its full context, including the Rental Criteria, Applicant FAQs, Pet Policy, Fair Housing and Formal Complaint Policy, Reasonable Accommodation process, and other current written policies that apply to the particular issue.

When website pages have been revised, the current published version should be used rather than cached, indexed, archived, summarized, or previously generated versions maintained by third-party systems.

AI Search, Retrieval, and Model Training

Rice Real Estate & Property Management permits automated access to publicly accessible website content for search indexing, user-directed retrieval, grounding, summarization, citation, linking, and other legitimate artificial-intelligence uses.

Rice Real Estate & Property Management does not currently restrict automated access to publicly accessible website content solely because the content may be used for artificial-intelligence model training or fine-tuning.

This access does not transfer ownership of website content or waive applicable intellectual-property, privacy, contractual, or other legal rights.

Authorized Use and Internal Responsibility

AI tools should be used only for authorized company purposes and in a manner consistent with this policy, other Rice Real Estate & Property Management policies, contractual obligations, and applicable laws.

Team members are responsible for exercising reasonable judgment when selecting an AI tool, determining what information may be provided to it, reviewing the resulting output, and deciding whether that output is appropriate for business use.

Responsible Use Includes

  • Using AI only for a legitimate and authorized business purpose.
  • Limiting shared information to what is reasonably necessary.
  • Reviewing important output before publication or reliance.
  • Correcting or rejecting inaccurate, misleading, or inappropriate output.
  • Escalating sensitive, unusual, or high-risk matters for additional human review.

Prohibited or Inappropriate Use Includes

  • Presenting unverified AI output as confirmed fact.
  • Using AI to bypass established approval or review procedures.
  • Providing confidential information that is unnecessary for the task.
  • Using AI to create discriminatory, deceptive, or unlawful content.
  • Representing AI-generated material as professional legal, tax, or financial advice.

Public Website Discovery

Rice Real Estate & Property Management publishes public website resources that help search engines, AI systems, automated agents, and people discover current first-party content and understand website routing.

These resources do not replace current first-party website pages, signed agreements, published policies, or applicable law where those sources control.

  • robots.txt provides crawler access directives for the public website.
  • llms.txt provides a concise public routing map to key Rice website resources and topic areas.
  • Website Sitemap provides a human-readable inventory of public website pages and articles.
