Rice Real Estate & Property Management uses Artificial Intelligence (“AI”) as a business tool to improve efficiency, communication, marketing, research, and customer service. We believe AI can be helpful when used responsibly, but it must always remain subject to human review, professional judgment, privacy protection, and Fair Housing compliance.

This Public AI Use & Transparency Policy explains how Rice Real Estate & Property Management may use AI in connection with residential property management, leasing, marketing, and client service.

Note: Artificial Intelligence is an assistant, not a decision maker. Every AI-generated document, image, recommendation, email, listing description, advertisement, maintenance response, lease communication, or owner communication must be reviewed and approved by an authorized Rice Real Estate & Property Management employee before distribution or publication.

Our AI Commitment

Rice Real Estate & Property Management is committed to using AI in a responsible, ethical, and transparent manner. AI may help us draft, organize, summarize, improve, or analyze information, but AI does not replace the judgment of our licensed real estate professionals or property management team.

Our standards are simple:

  • Human review is required before AI-generated content is published or sent.
  • AI is not used to make final leasing, screening, legal, or financial decisions.
  • Confidential information must be protected.
  • Fair Housing laws must be followed at all times.
  • Marketing must accurately represent the property.
  • AI is used to support service quality, not replace professional responsibility.

How We May Use AI

Rice Real Estate & Property Management may use AI to assist with business-related tasks, including:

  • Drafting Property Owner updates
  • Drafting Resident communications
  • Preparing maintenance troubleshooting instructions
  • Creating rental listing descriptions
  • Improving website content
  • Preparing educational blog articles
  • Assisting with search engine optimization
  • Drafting social media content
  • Summarizing property management information
  • Organizing internal procedures
  • Reviewing publicly available market information
  • Assisting with virtual staging and listing photo enhancement

AI-generated work is treated as a draft. Before use, it must be reviewed by a Rice Real Estate & Property Management team member for accuracy, tone, professionalism, legal compliance, Fair Housing compliance, and brand consistency.

How We Do Not Use AI

Rice Real Estate & Property Management does not use AI to make final decisions regarding:

  • Rental applicant approval or denial
  • Security deposit determinations
  • Reasonable accommodation decisions
  • Eviction decisions
  • Legal advice
  • Lease interpretation as legal advice
  • Tax advice
  • Investment advice
  • Habitability determinations
  • Final maintenance authorization decisions
  • Final rental pricing decisions without human review

AI may help organize information, but final decisions remain with authorized Rice Real Estate & Property Management personnel.

Human Review and Professional Judgment

AI is an assistant, not a decision maker.

Every AI-assisted communication, listing description, image, advertisement, report, article, or recommendation must be reviewed by a qualified team member before it is published, sent, or relied upon.

Human review includes checking for:

  • Accuracy
  • Completeness
  • Fair Housing compliance
  • Privacy protection
  • Professional tone
  • Compliance with company standards
  • Compliance with applicable laws and regulations

Fair Housing Compliance

Rice Real Estate & Property Management is committed to full compliance with federal, state, and local Fair Housing laws.

AI tools can unintentionally create language or recommendations that may be inaccurate, biased, discriminatory, or interpreted as steering. For this reason, all AI-assisted leasing, advertising, marketing, website, and listing content is reviewed before publication.

AI is not used to target, exclude, rank, or prioritize applicants or prospective Residents based on protected characteristics. AI is not used to alter our rental qualification criteria or make leasing decisions.

Applicant Screening

Rice Real Estate & Property Management does not use AI to independently approve or deny rental applicants.

Rental applications are reviewed according to the company’s established rental qualification criteria, applicable laws, Fair Housing requirements, and human review. AI may assist with administrative drafting or organization, but it does not replace our screening process or professional oversight.

Privacy and Confidential Information

Rice Real Estate & Property Management takes privacy seriously. We do not knowingly enter highly sensitive personal information into unapproved AI systems.

Protected information may include, but is not limited to:

  • Social Security numbers
  • Driver license numbers
  • Bank account information
  • Credit reports
  • Background screening reports
  • Resident screening records
  • Owner financial information
  • Trust accounting records
  • Lease files containing personal information
  • Internal company credentials or passwords

When AI is used, Rice Real Estate & Property Management strives to limit information shared with AI systems to what is reasonably necessary for the task and to remove personally identifiable information whenever practical.

Virtual Staging and AI-Enhanced Images

Rice Real Estate & Property Management may use AI tools to assist with virtual staging, photo enhancement, and rental property marketing.

Permitted uses may include:

  • Adding virtual furniture or decor
  • Improving brightness or clarity
  • Correcting color or lighting
  • Adding window coverings
  • Minor landscape cleanup
  • Sky replacement

AI-enhanced images must not materially misrepresent the property. We do not use AI to add features that do not exist, hide material defects, change floor plans, enlarge rooms, alter views, or misrepresent the condition of a rental home.

When a property image is virtually staged, Rice Real Estate & Property Management intends to clearly disclose that the image has been virtually staged.

Marketing and Website Content

AI may assist with drafting marketing copy, website pages, blog articles, social media posts, email campaigns, and listing descriptions.

However, all published content must be reviewed before use. Rice Real Estate & Property Management remains responsible for the final content published under its name.

AI-assisted content must be accurate, professional, Fair Housing compliant, and consistent with the company’s standards.

Limitations of AI

AI systems can make mistakes. They may generate incomplete, outdated, biased, or inaccurate information. They may also create statements that sound correct but are not factually reliable.

For this reason, Rice Real Estate & Property Management does not rely on AI output without human review. Important information is verified before being used in owner communications, resident communications, listings, marketing, or business decisions.

Ongoing Review

AI technology is changing quickly. Rice Real Estate & Property Management may update this policy as technology, laws, regulations, MLS rules, Fair Housing guidance, cybersecurity standards, and company operations evolve.

This policy is intended to provide public transparency regarding our responsible use of AI. It does not create a contract, guarantee, or waiver of any legal rights or obligations.
